SharePoint Designer Snippets: On the Subject of Workflows

If you create workflows in SharePoint Designer 2007, then you may be interested in this small tip which relates to using e-mails within workflows.

I recently discovered that if you don’t include text or a variable in the subject line of your workflow e-mail, then the workflow will generate an error message - it is not as forgiving as when creating e-mails in the Outlook client. But you won’t see the error message dialogue, shown below, until you click Finish in the Workflow Designer.

 

In this case, I had a multi step workflow with embedded e-mails and lots of variables which I was testing, so my first thought was that the error had something to do with an incorrect variable. The hint is the asterisks (*) which surround the e-mail rule within the conditional branch, shown below, and which you’ll see if you click Cancel in the error message dialogue above or click Check Workflow in the Workflow Designer dialogue.

 

To remedy the issue, click on the e-mail rule (shown above) and populate the e-mail Subject line.
